How do I get a copy of my data?

Download it yourself from your account. Why we do not email personal data out, and what to do if you cannot log in.

You can see and download everything we hold on you yourself, from your account, right now. That is the fastest route and it is the complete record.

Two different questions

People usually mean one of two things, and they have different answers.

"What was taken in the incident?" — that is already answered, individually, in the security notice we sent you. It was generated from your own record rather than a general list, so it tells you what applied to you. Keep that email. It is your record of the incident and it stays in your inbox whatever you do with your account. The categories in general terms are in What was copied in the incident?

"What do you still hold about me?" — that is the download below. It shows what is in your account today, which is not the same set as what was copied in August.

How to download it

Log in at theyachtweek.com and open Edit profile. At the bottom is a panel headed Danger zone — the Go off radar button opens a dialogue listing what we currently hold on you, category by category with a count for each, and offers Download my data: a spreadsheet of the personal details we hold about you.

Downloading deletes nothing. Take the copy, then choose Keep my profile and your account stays exactly as it was.

The spreadsheet contains your own data only. It leaves out what is not yours to receive even though it touches your record — other guests' names on a shared booking, for example — and internal system references, which are secrets rather than personal data.

Why we do not email it to you

We do not send personal data out by email, and we would rather explain that than have it read as obstruction.

We cannot confirm who is behind an email address. This incident was about identity details, and whoever holds them knows your name, your trip and your email address — which is exactly what someone would need to ask us convincingly for your file. Emailing a document to an address that says it is you is the one thing we should not do right now.

Logging in proves it is you in a way an email cannot. That is why the download sits behind your account.

If you would rather not log in again

Two options, and either is fine.

Have us delete the account instead. If what you actually want is to be gone rather than to read the file, tell us and we will action it — see How do I delete my account and my data?

Ask us anyway. If you cannot log in and you do want the copy, say so. We will verify who you are another way and provide it. That takes longer — the law allows up to one month and we would rather give you the statutory position than a shorter promise we might miss — but the right exists and we are not going to make the button the only way to use it.

If you also have a Ski Week account

Ski Week is a separate company holding separate records, with its own download on its own site. Doing this here does not cover that account. Its answers are at help.theskiweek.com.
